Choosing a school management system: what to check before you buy

Admissions, attendance, fees, results and parents: how to map the school year, the questions to ask, and how to move without disrupting a term.

Map the school year first

List what happens across a year: admissions, class placement, timetables, attendance, fees, exams and reports, and messages to parents. Note who does each today and in which tool. The system should fix the steps that hurt most, not tick every feature on a vendor’s list.

Questions about the core records

  • Does each student have one record from admission to graduation, including siblings and guardians?
  • Can teachers take attendance quickly, on a phone?
  • Can fees be split into instalments, with discounts, receipts and reminders?
  • Can results and report cards follow your own grading rules?

Parents and teachers

Portals only help if people use them. Check that parents can see attendance, fees and results in Arabic and English, on a phone, and that teachers can post updates without extra steps.

Data and access

  • Who can see which records, by role: administration, teachers, finance and parents.
  • Where the data is hosted, and how backups work.
  • Exporting all your data if you change systems later.

Plan the move

Moving in the middle of a term is risky. Start with admissions or fees before the new year, import student lists from your current spreadsheets, and run the old and new ways side by side for a few weeks.
